Please read these Terms and Conditions carefully before booking any shipment through Cargocharges.com.

Legal Terms

Cargocharges.com is an online booking platform that connects you with leading international courier brands such as DHL, FedEx, UPS, Aramex and others (“Carriers”). By placing a booking through our website, you (the “Sender” / “Consignor”) agree to the terms below. If you do not agree, please do not use our services.

These terms explain who is responsible for what – including charges, packing, customs, delays, cancellations and storage. They are designed to avoid confusion and disputes later.

Our Role and Relationship with Courier Brands

  1. Booking platform only (we are not the Carrier)
    Cargocharges.com provides a platform where different courier brands (such as DHL, FedEx, UPS, Aramex and others) offer their services. We help you: view rates, book a shipment, request pickup and hand over your parcel to the Carrier you select.
    Example: You select DHL for a shipment to the USA on our website. We generate the booking, coordinate pickup and hand over the shipment to DHL. Once handed over, DHL’s own terms and conditions apply for transit, delays and claims.
  2. Responsibility after handover / manifest
    Our direct responsibility is limited to the booking and handling of your shipment until it is handed over or manifested to the selected Carrier or their authorised third-party pickup partner. After that, any transit issue, delay, loss or damage must be taken up with the Carrier as per their policies.
    Example: Once your parcel shows as "Collected" or "Manifested" with DHL/UPS/FedEx, you or your consignee must contact that Carrier's customer support for delivery updates, provide asked documents and requirements, or claims.
  3. Return shipments by the Carrier
    If the Carrier returns a shipment for any reason (for example: documentation issues, undervaluation, customs refusal, prohibited contents, wrong address or consignee refusal), all return freight, duties, taxes, penalties and related costs will be charged to the Sender.
    Example: Customs returns a shipment due to incomplete invoices. The Carrier bills return charges and duties. These charges are payable by the Sender, not Cargocharges.com.
  4. Compensation in case of loss by Carrier
    In the unfortunate event of shipment loss or damage, any compensation is paid by the Carrier in accordance with their own policies (often based on declared value or a fixed per-kg limit). By using our platform, you agree in advance to accept the Carrier’s compensation limits and methods.
    Cargocharges.com does not provide any additional compensation beyond what is approved and paid by the Carrier, unless separate written insurance coverage has been arranged and paid for.

Booking, Pickup & Delivery Commitments

  1. Remote and extended delivery areas
    Shipments going to remote, difficult or extended delivery areas may attract additional surcharges, irrespective of the Carrier chosen. These charges are decided by the Carrier and will be collected from the Sender.
    Example: A parcel to a remote village in Canada may attract a “remote area surcharge” as per DHL’s or FedEx’s policy. This extra amount will be billed to you.
  2. Redirection, incorrect address and reshipment
    If the delivery address is incomplete, incorrect, or needs to be changed after booking, any redirection or reshipment charges raised by the Carrier will be payable by the Sender.
    Example: If the consignee has moved to a new address and you ask us to deliver to the new location, the Carrier’s address-change / redirection fee will be billed to you.
  3. Address change fees (post-booking)
    Where a correct new address is provided and accepted by the Carrier, an address change fee of ₹1,999 + GST per shipment will be charged to the Sender.
  4. Pickup charges and multiple pickup attempts
    A minimum pickup fee of ₹500 plus ₹15 per km may apply. If there are multiple pickup locations, failed pickup attempts, last-minute cancellations or repeat pickups, extra pickup charges will be billed.
    Example: The pickup team arrives but the parcel is not ready or you cancel at the last moment. The trip cost may still be charged as a pickup fee.
  5. Delivery timelines and delays
    Transit times shown on our website are indicative and based on Carrier information. Delays may occur due to customs, weather, operational issues, holidays or other reasons. Our KPI is to connect your parcel to the chosen Carrier’s network; we are not responsible for delays once the shipment is with the Carrier. No refund or deduction is allowed solely for delayed delivery.
  6. Same-day connection cut-off time
    To connect a shipment on the same day: for FedEx, the shipment must reach our office before 4:00 PM; for DHL, UPS, Aramex or our self-network, before 7:00 PM. Sundays are non-operational for connections.
    Example: A parcel received at 8 PM will be connected on the next working day, even if pickup happened earlier.

Charges, Surcharges and Rate Changes

  1. Chargeable weight (actual vs volumetric)
    Shipping charges are based on the higher of: (a) actual weight, or (b) volumetric weight. Volumetric weight (in kg) is calculated as: (Length × Width × Height in cm) ÷ 5000.
    Example: A box is 50 × 40 × 40 cm and weighs 10 kg. Volumetric weight = (50×40×40) ÷ 5000 = 16 kg. You will be billed for 16 kg (the higher value).
  2. Dynamic fuel surcharge and taxes
    All rates are subject to dynamic fuel surcharges, service tax / GST and any other applicable levies as charged by the Carrier or government. It is the Sender’s responsibility to check the applicable fuel surcharge at the time of booking.
  3. Rate revisions
    Shipping rates may change at any time due to Carrier or airline revisions. The final payable amount is the rate applicable at the time of booking / confirmation, not necessarily any older quote.
    Example: If an airline increases its fuel surcharge, your shipment cost may increase even if you saw a lower approximate rate earlier.
  4. Warehouse holding charges (short-term)
    If a shipment remains in our office for more than 2 days (for reasons such as pending documents, payment, or booking confirmation), warehouse charges of ₹10 per kg per day or ₹100 per day (whichever is higher) will apply and are payable by the Sender.
  5. Commercial clearance charges
    For commercial shipments requiring commercial clearance, an additional ₹3,200 per shipment will be charged to the Sender.

Customs Duties, Taxes & Documentation

  1. Responsibility for duties, taxes and other charges
    All customs duties, import taxes, handling charges, entry fees, finance fees and any similar charges at the destination are the responsibility of the Sender / Consignee. If the Consignee refuses to pay, the amount will be billed to the Sender. In India, applicable service tax / GST may also apply on the duty amount.
    Example: Customs in the destination country charges import duty. If the receiver refuses, those charges will be collected from you as the Sender.
  2. Correct and complete documentation
    The Sender must provide accurate and complete invoices, KYC documents and any other papers required by customs or the Carrier. Once documents have been submitted and accepted, no further corrections can be entertained. Please review carefully before submitting.
    Example: If you mistakenly declare an incorrect value and customs assesses duty based on that value, you cannot claim a refund from us for the difference.
  3. Invoice preparation by Cargocharges.com
    In case the Sender does not provide a proper invoice, you authorise Cargocharges.com to prepare or correct the invoice on your behalf based on details shared by you. This is done only to comply with customs rules and does not transfer any liability away from you.
  4. “Made of” and material description
    For every article, the Sender must clearly mention what the item is “made of” (for example: “wooden photo frame”, “cotton t-shirt”, “plastic toy”). This may be written on the invoice or item list.

Packing Requirements & Size / Weight Limits

  1. Sender’s responsibility for packing
    The Sender is fully responsible for proper packing so that the goods can withstand normal handling and transit. We strongly recommend using plain, strong cartons of 7-ply or 9-ply corrugated material.
  2. Special packing – plywood boxes
    If plywood boxes are used, the Sender must ensure that the box has at least two handles, hinges to open the box, a hasp, locks and pallets if required. Improperly packed wooden boxes can be refused or may attract extra handling charges.
  3. Fumigation certificate for wooden items
    For wooden articles or wooden packaging, a valid fumigation certificate is mandatory wherever required by the destination country. The Sender is responsible for arranging this.
  4. Weight and size limits
    As a guideline: each bag should not exceed 1.5 kg; for boxes, the chargeable weight should generally be under 25 kg, and no side should exceed 100 cm. Exceeding these may lead to additional handling surcharges.
    Example: A 40 kg box or a 140 cm long package may be accepted only with special handling fees charged by the Carrier.
  5. Improper packing and repacking
    If we find that packing is inadequate, we may: (a) repack the parcel (additional packing material and service charges will apply), or (b) hold the shipment and ask you to collect it from our office. On request and subject to availability, we may also arrange to return the held parcel to your pickup address at an additional cost.
  6. Our Packing Service
    Yes, we provide a complete hassle-free packing service! 📦

    Our service charge is Rs. 50 per kg. Packing is carried out using corrugated boxes and bubble sheets to ensure the safety of your items.

    If you require additional customization, there may be extra charges. These could include costs for packing fragile items, repacking, or using wooden boxes for added protection.
    Please note: We need to add PACKING SERVICE at the time we place request of pickup in CRM — so please remind us and ask if you need packing at the time you request for PICKUP.

Prohibited, Restricted and Undeclared Items

  1. Illegal or undeclared contents
    If any shipment is found to contain illegal, prohibited, hazardous or undeclared items (as per Carrier or customs rules), the Sender agrees to pay a penalty of ₹5,000 to ₹25,000 per shipment, in addition to any fines, penalties, storage, destruction or return charges levied by authorities or the Carrier.
  2. Carrier’s right to remove or refuse items
    If a Carrier cannot accept a shipment due to its contents, Cargocharges.com and/or the Carrier are authorised to remove / segregate the problematic items without prior consent in order to comply with law and safety rules. Where possible, such removed items can be returned to you at your cost.

Insurance and Limitation of Liability

  1. Declaration of contents and value
    The Sender must correctly declare the description, quantity and value of goods. Undervaluation or mis-declaration can lead to customs penalties, confiscation, delays or denial of claims, all of which will be the Sender’s responsibility.
  2. Optional insurance
    We strongly recommend that you obtain external cargo insurance for high-value or fragile shipments. Unless specific insurance is purchased and confirmed in writing, the shipment will travel entirely at the Sender’s risk, subject only to the Carrier’s standard limited liability.
  3. Breakage of fragile items in transit
    Fragile items (glassware, electronics, ceramics, crockery, artwork, etc.) are shipped entirely at the Sender's risk. While we ensure proper packing using bubble sheets and corrugated material, we cannot guarantee against breakage during transit handling by the Carrier.

    Claims for damaged or broken fragile items must be raised directly with the Carrier within their stipulated timeframe. Cargocharges.com will assist in filing the claim but does not accept liability for breakage or damage caused during transit.
    Recommendation: We strongly recommend purchasing cargo insurance for all fragile shipments. Ask our team about insurance options at the time of booking.
  4. Indirect or consequential losses
    Cargocharges.com is not liable for any indirect, consequential or special losses such as loss of profit, loss of business opportunities, emotional distress or similar, even if a shipment is delayed, damaged or lost. Our liability, if any, is strictly limited to the amount recovered from the Carrier.

Credit Terms, Invoicing & Non-Payment

  1. Eligibility for credit account
    Credit facilities may be provided to regular business customers based on volume, payment history and internal approval. Having a login on our website does not automatically create a credit account.
  2. Billing schedule
    For approved credit customers, invoices are generally generated every Monday and sent to your registered address or email. Payment must be made on or before the due date mentioned on the invoice.
  3. Late payment charges
    If the invoice is not fully paid by the due date, or a cheque / payment is dishonoured, late fee charges of ₹500 plus an additional 5% of the total outstanding amount as credit control charges will be applied.
  4. Abandonment of shipment for long-pending dues
    If any invoice remains unpaid for more than 3 months, and after sending at least three payment reminders, Cargocharges.com reserves the right to: abandon, destroy or forfeit the related shipment(s) without further notice. Any claims after abandonment / destruction will not be entertained.

Shipment Cancellation, Returns & Long-Term Storage

  1. Cancellation after pickup
    If the Sender / Consignor cancels a shipment after the pickup has been done, a cancellation charge of 25% of the total courier bill value will be applicable. This covers management time, customer support, pickup, booking and cancellation handling.
  2. Short-term storage on cancellation
    If cancellation is requested within 10 days from invoice generation, no warehouse charges will apply for the first 10 days. After this, if you wish us to continue storing the shipment, warehouse fees of ₹1,000 per week will be charged.
  3. Non-use of our warehouse
    If you do not wish to use our warehouse services after cancellation, you must collect the shipment within the communicated timeline. Failing that, the shipment may be treated as abandoned, destroyed or disposed of, and we will not be liable for any loss.
  4. Checking waybill details before dispatch
    The Sender must carefully check all waybill / airway bill details at the time of booking: consignee name, complete address, zip / postal code, contact number and declared contents. Any issue resulting from incorrect or incomplete details will be the Sender’s responsibility.

Governing Law, Jurisdiction & General Terms

  1. Jurisdiction
    All disputes, claims or differences arising out of or relating to services provided by Cargocharges.com shall be subject to the exclusive jurisdiction of the courts at Delhi, India only.
  2. Changes to these Terms
    Cargocharges.com may update or amend these Terms and Conditions at any time without prior notice. The latest version available on our website at the time of booking will apply to your shipment.
  3. Acceptance of Terms
    By requesting a pickup, booking a shipment or making payment through Cargocharges.com, you confirm that you have read, understood and agreed to these Terms and Conditions on your own behalf and, where applicable, on behalf of your company.
